Connect Gmail and Google Calendar so Pencel can clear your inbox, answer
questions about your email, and keep track of your day.

# Google Workspace

Connect your Google account and Pencel can read and draft email in Gmail, and see and manage your Google Calendar. It's also what the [Email Chief of Staff](https://pencel.ai/docs/programs/email-chief-of-staff.html) inbox room reads.

## What Pencel can do with it

* **Clear your inbox.** The Email Chief of Staff room reviews your unread Gmail, clears out the noise and drafts replies for the few messages that need you.
* **Answer questions about your mail.** On Home, ask "What did Acme send about the renewal?" or "Find last month's invoice from Northwind and tell me the total." Pencel can read PDF, text, CSV and HTML attachments.
* **Draft and send replies.** "Reply to Dana and say Thursday works." Pencel writes it and sends only after you approve.
* **Prepare for your day.** Home can show today's meetings. Ask "What's on tomorrow, and what do I need to know for each meeting?"
* **Manage your calendar.** Create, move or cancel events, and accept or decline invitations.

What it can reach: your Gmail (search, read, send, reply, mark as read or unread, archive, unsubscribe from a mailing list, labels) and your main Google Calendar. Pencel doesn't ask for access to Google Drive.

## Connect it

Use whichever is closest. Each one connects your whole Google account.

* **Home ▸ Connect your email ▸ Connect Google.** Pencel connects your account and, once your plan or API key is set up, starts a first review of your inbox. A message with **Open inbox room** appears once it's working.
* **Home ▸ What should Pencel find for you? ▸ Handle my inbox ▸ Connect Gmail.** Same result, and it opens the inbox room for you.
* **Connect Google Calendar** in Home's calendar box, when it asks you to connect a calendar. This connects the whole Google account, not just the calendar.
* **Settings ▸ Connections ▸ Recommended ▸ Google Workspace ▸ Install.**

Your browser opens. Sign in to Google and allow the access Pencel asks for. Back in Pencel, the Google Workspace card in **Settings ▸ Connections** reads **Installed**.

## What needs your approval

* **Sending email.** In the inbox room you press **Send email** and confirm **Send this exact reply?**. Pencel re-reads the thread just before sending, in case someone replied in the meantime.
* **Changing your calendar**: creating, changing or deleting an event, or answering an invitation.
* **Marking mail as read.** For a routine action like this, **Always Allow** stops Pencel asking in that room.
* **Archiving or unsubscribing.** These run only when you click **Archive** or **Unsubscribe** on an email in the inbox room. An agent can't unsubscribe you on its own.

Searching and reading don't need approval. In a room, deleting a calendar event asks every time.

## Good to know

* **Reconnect once for "mark as read".** If you connected Google before Pencel could mark mail as read, your inbox room won't offer to mark messages read. Go to **Settings ▸ Connections ▸ Installed**, open the Google Workspace **⋮** menu, click **Disconnect**, then click **Connect** and sign in again to grant the new permission. If the inbox room then asks you to check its access, follow its prompt.
* **Marking as read changes nothing else.** It only removes Gmail's unread label. Nothing is archived, moved or deleted.
* **Pictures aren't read.** Pencel can't read text inside an image attachment, like a photographed receipt. Tell it the figure instead.
* **The inbox room reads Gmail only.** Using Outlook? See [Microsoft 365](https://pencel.ai/docs/integrations/microsoft-365.html).
* **Home's calendar box only reads.** It shows today's meetings and never changes your calendar.
* **Company accounts.** If your Google Workspace admin blocks third-party apps, sign-in may fail until they allow Pencel.

## Disconnect or change what it can do

Go to **Settings ▸ Connections ▸ Installed** and open the **⋮** menu on the Google Workspace card.

* **Manage Tools**: switch off anything you don't want Pencel to use, such as sending email or changing your calendar. Click **Save changes**.
* **Disconnect**: stop Pencel using your Google account. Pencel also removes its access in your Google Account. Your rooms keep their history. Click **Connect** to sign in again.
* **Remove**: delete the connection and remove Pencel's access in your Google Account. Pencel also deletes the email it kept from this account: room cards, reply drafts, received mail, email text in activity history and what the assistant remembered from it. Knowledge and documents you saved stay. Pencel asks you to confirm first.

Both sign Pencel out of that Google account everywhere, including on your other computers. If Pencel can't reach Google at that moment, it tells you. Then remove Pencel yourself under third-party connections in your Google Account settings.
